Our approach to all 3 stages of project delivery uses agile methods to ensure a highly collaborative, iterative and speedy outcome.

Discovery

The Discovery stage involves a series of team workshops to get clarity about a project’s goals and how they will be measured. This is followed by collaborative design sessions to understand target users, personas and the user goals and to start sketching some ideas of what the product could be. More detailed UX work draws up wireframes and creates prototypes of the user experience for qualitative testing with users to get early feedback. As the design and product concept become more clear and start getting positive feedback from users, we start to sketch the technical architecture and break the experience down into high level features and user stories that will form the product backlog and be used for planning. Outputs from the Discovery stage are typically:

Planning

The Planning stage takes all the output from the Discovery stage and turns it into a project plan for approval. This process involves a series of team workshops to clarify the user stories and prioritise them, estimate their relative size and estimate the team’s velocity. This stage also includes creating a budget for delivery and based on the estimates for the work, budget and team size, coming up with a timescale for delivering the project. Last but not least, this stage also includes business case development or refinement in order to validate whether or not the project is worthwhile. Outputs from the Planning stage are typically:

  • Prioritised, Estimated User Stories (Product Backlog)
  • Team Structure
  • Estimate of Team Velocity
  • Planned Burnup Chart (rate that user stories need to be completed)
  • Roadmap (features on a timeline)
  • Business Benefits
  • Budget
  • Business Case
  • Approval Deck

Execution

The Execution stage is about delivering the project in line with the plan and budget. Whilst the plan and budget may be fixed, typically we would assume the scope – at least the exact details of each feature – are variable and will be managed to deliver the goals within the planned time and cost. In managing scope, we maintain a strong focus on the business goals in order to ensure that the scope is not changed at the expense of the goals. Balancing these things always requires trade-off decisions – we provide full visibility and transparency to ensure that all key stakeholders are always aware of where we’re at and any decisions. We move fast, so during delivery we emphasise clarity, simplicity and urgency. During the project’s execution, we use the following touchpoints to ensure that communication and collaboration is always high:

  • Release Planning (usually quarterly) – to provide clear roadmaps for the next period
  • Sprint Planning – what’s coming up in the next 2 weeks
  • Daily Standups – to ensure the team stays in sync at all times
  • Showcases – to demo what’s delivered in the last 2 weeks
  • Retrospectives – to ensure teams rapidly improve their speed of delivery
  • Burnup Chart – to provide an objective measure of progress against plan
  • Sprint Reports – to provide status/ progress information to senior
